These samples carry various formats of writing a letter to cancel an arrangement. They show different ways to write a letter notifying the second partner of your intention to cancel an arrangement in different instances. 

Sample 1: Cancellation Letter

This sample can be used when requesting the cancellation of service. It may be necessary first to appreciate the service provider and states his reason for the cancellation of the service. 

Suggested Subject: Cancellation of service

To whom it may concern, 

This is to inform you of my request to cancel my subscription with you as I am moving to another town and would no longer require your services in my new location. 

My customer ID is 123456789. According to your contract, whenever I cancel my subscription with due notice, I get a 10% refund on my last subscription. 

I enjoyed using your services and if I were to return I would definitely use your services again. 
Please confirm my cancellation.

Sample 2: Cancellation Letter

This sample is on the cancellation of an event booking. When writing this kind of email, ensure to state clearly the reason for the cancellation and remind the organization for a refund, if stated in their policy or contract. 

Suggested Subject: Cancellation of Hotel Reservation

To whom it may concern, 

Our company XYZ Inc., reserved the cap hotels for our event on the 18 of April 2022 from 8 am to 6 pm. After much consideration, we regret to inform you that we have canceled the event as our company has decided to host the event annually instead of biannually. 

According to your contract, if a cancellation is made with a 30-day notice, a complete refund is given. As such, we would like to ask that a refund be made. 

We sincerely apologize for any inconvenience this has caused. Kindly reach out to us if you have further questions or inquiries.

Sample 3: Cancellation Letter

Sometimes, it may become pertinent to cancel a meeting, just like in the case of the sample below. In doing so, ensure to apologize for any inconvenience the cancellation may cause. 

Suggested Subject: Meeting Cancellation Notice

Dear Team,

I’m writing this letter to cancel our weekly meeting that was slated for later this afternoon. 
I had a family emergency this morning as my child ingested something harmful and had to be rushed to the hospital and I have to be with her. 

My sincere apologies for the inconvenience caused as I know you must have prepared for this meeting. 

Upon my resumption, we will reschedule a new date for this meeting. 
Thank you for understanding.

Sample 4: Cancellation Letter

This is a cancellation letter for an appointment, where the sender informs the recipient that they will not be able to attend a scheduled meeting due to unforeseen personal circumstances. The sender apologizes for any inconvenience caused and desires to reschedule the appointment for a later date.

Suggested Subject: Cancellation of Appointment

Dear [Name],

I am writing to inform you that I will have to cancel our appointment that we scheduled for [date and time]. Unfortunately, an unexpected personal emergency has come up, and I won’t be able to attend our meeting. I am sorry for any inconvenience this may cause, and I hope you can understand my situation.

If possible, I would like to reschedule the appointment for a later date. Please let me know your availability, and we can arrange a new date and time.

Sample 5: Cancellation Letter

This is a cancellation letter for a subscription, where the sender requests the termination of a paid subscription to a product or service.
